Using the file manager

This is the file manager.

This can be accessed either by:

  • Clicking on the 'Files' tab at the top of the admin view, and selecting 'File Manager'
  • Clicking a 'browse' icon when editing content (e.g. when inserting an image).

This allows you to manage the site files. The site files are uploaded to the website and are then accessible by their own unique URL. All of the images that are on your website are in your site files, as well as documents and downloadable files that are linked from your pages.

(N.b. all files stored on your site in this way can be downloaded and saved by anyone with the URL. Personal or sensitive information shouldn't be stored on the site files in this way).

Selecting files to be inserted into content

If you have clicked a 'browse' icon when editing content, e.g. you clicked on the browse icon "Insert/Edit image" dialog box, then you will be able to select and 'insert' a file.

In order to do this you can follow these instructions:

1: Navigate to the folder that the file you want is stored in. Clicking on a folder will navigate to it, while clicking the curled arrow at the top of all of the file list () will take you back up to the previous folder.

(If you have just uploaded the file as per the instructions below you will already be in the folder with the file).

2: You can insert the file by either:

  • Clicking the file name
  • Clicking the checkbox next to the file and then clicking the 'insert' link in the bottom left.

Either way the file manager will close and you will be returned to the editor view with the URL of the file inserted into the form you were editing.

Uploading a new file to the site files

A lot of the time you will be using the file manager because you want to upload a new file to the website. For example; you have a new image of the course, and you want to upload it to the site files. 

In order to do this you can follow these instructions:

1: Navigate to the folder that you want to store the new file in. Clicking on a folder will navigate to it, while clicking the curled arrow at the top of all of the file list () will take you back up to the previous folder. 

Where you put the file depends on how the site files are organised. For example for our image of the course it might go in a folder called "Images" and a sub-folder called "Course".

2: Once you are in the target folder click the green "Upload" button in the top right corner.

3: You will then see an "Upload files" dialog box. Click the "Choose files" button.

4: You will then see a file browser window from your computer, showing your local files. Select the files you want to upload.

5: It will then show you some details of the files you have selected. You can now finish the process by clicking "Upload to server"

6: The files you have selected will now be in the folder in the site files. If you were previously in a content editor and you also want to select a file to be inserted into content, e.g. the image of the course, then you can now select the file as per the instructions above.

Image manager mode

The image manager mode provides an easier way of working with images than the normal file manager. This is the file manager in image manager mode:

It is the same as the normal file manager mode except for these differences:

1: Only image files and folders are displayed

2: Images are displayed as Thumbnails

3: The display is 'paginated'. Only a set number of images/folders appear per page and you use the blue arrows above the browser area (where it says "Page 1 of 5") to move back and forward between the available images/folders.

You can toggle between Image Manager mode and the normal mode using the icon in the top right hand corner.

Also note that the file manager appears in image manager mode by default when opened from the 'Insert/Edit' image dialog box.
